Square Customer Directory / CRM

A free Square CRM that turns everyday sales into useful customer relationships

Square Customer Directory gives a U.S. business one place to organize customer contact details, purchase history, loyalty activity, preferences, and notes across Square sales channels. Profiles can be created during or after checkout, through Square Appointments, Square Loyalty, Square Invoices, or by spreadsheet import in Dashboard.

Built for your day-to-day

How it fits your business

For a bakery, salon, retailer, restaurant, or service company, that means staff can recognize repeat buyers and segment lapsed or loyal customers without maintaining a separate contact database. The directory is included with a Square account; email and text campaigns are separate paid marketing capabilities, and customer-management permissions and responsible data handling still matter.

Key capabilities

What you can do

  • Build profiles from real transactions

Square can create an Instant Profile after a transaction when the payment-card name matches no existing customer, then update that profile with later purchases. Staff can also add a customer during checkout or attach one after a sale, giving a service counter or checkout team a practical way to capture repeat-business history.

  • See purchase behavior across channels

Customer information can sync across in-person and online sales, locations, and devices. Search by name, phone, email, or custom fields, then use filters and groups to distinguish regulars, lapsed customers, and other useful segments for follow-up.

  • Make service more personal

A customer record can expose prior visits, preferences, frequently purchased items, loyalty points, and personalized notes. That is useful when a coffee shop remembers a regular order, a salon prepares for a returning client, or a retailer helps a repeat shopper find a familiar product.

  • Connect retention tools without exporting the list

Customer Directory integrates with Square Marketing, Square Loyalty, and Square Messages. Businesses can use customer groups for targeted outreach and see campaign-attributed sales or coupon redemption in Square Dashboard when the relevant marketing tools are enabled.

  • Bring over an existing contact list

The Square Dashboard supports bulk customer import with field mapping and a results summary showing new, matched, and failed rows. This gives an established business a path to migrate contacts, but the import tool is Dashboard-only and cannot re-subscribe people who previously opted out of email marketing.

What you need to use it

Customer Directory is described by Square as a free CRM built into Square payment tools and available with a Square account. A business can use Square Point of Sale without buying hardware, including through invoicing, payment links, Virtual Terminal, or Tap to Pay; supported Square hardware can be added when a counter or mobile workflow benefits from it. Team members need the customers permission to create new customers, and customer management may need to be enabled in the POS app settings.

Free directory, paid outreach

The directory itself has no monthly software charge shown on Square's U.S. product page. Email Marketing is included with Square Plus and Square Premium. Square's U.S. marketing FAQ says text and email marketing require Plus or Premium; the current pricing page lists 500 texts per month per account with Plus then 3¢ per additional text, and 2,500 with Premium then 1.5¢ per additional text. Processing fees still apply to payments, but they are not a CRM subscription fee.

Practical boundaries for customer data

Customer Directory is a contact and interaction record, not a promise of a full industry-specific CRM. Square instructs sellers not to put payment-card numbers or health information in profile notes. Bulk import is limited to Dashboard, customer permissions govern who can create records, and a previously unsubscribed customer cannot be subscribed to email marketing through the import tool. Advanced large-scale actions, reporting, and API workflows are positioned by Square for enterprise organizations, so confirm fit before treating it as a replacement for a specialized CRM.

Square Customer Directory is a free CRM included with a Square account. Square Point of Sale can be used without purchasing hardware. Paid email and text marketing require Square Plus or Square Premium; payment processing and any hardware are separate.

Requirements

  • A U.S. Square account and access to Square Dashboard or a Square POS/payment workflow.
  • Team members creating customer records need the customers permission; POS customer management may need to be enabled in settings.
  • Email or text campaigns require Square Plus or Square Premium, not just the free directory.
  • No dedicated Square hardware is required; compatible Square hardware, a phone, or remote payment tools can be used for the underlying payment workflow.
  • Businesses importing existing contacts must use Square Dashboard and should follow Square's customer-consent and data-handling guidance.

Pricing and processing rates are Square U.S. published figures checked on 2026-10-27 and may change; confirm the live plan and fee pages before purchase.

The $0 monthly figure applies to Customer Directory itself, not to paid marketing, payment processing, optional hardware, or other Square subscriptions.

Square's support article says a manually entered email can automatically opt a customer into email marketing; businesses should confirm applicable consent and messaging-law obligations before using outreach features.

Do not store payment-card numbers or health information in Customer Directory notes.
